Design, build & ship
York Aromatics is a natural aromatherapy brand — hand-crafted candles and bath and body oils, each made in small batches from precise essential-oil formulations. As the range grew, so did the record-keeping behind it: recipes, ingredient lots, batch codes and stock, recorded across notebooks and spreadsheets, with the online store counted by hand.
Velvet Studio designed and built the Workshop Ledger — a custom web app that brings it all into one place: batches, formulations and stock, synced with the York Aromatics Shopify store, and a built-in compliance audit for safety and regulations.
The brief, in three problems
Batches, recipes and stock counts sat across different files: easy to break, timely to maintain.
The fix —One ledger holds batches, formulations and stock in a single system, with batch codes generated automatically.
What was made and what the Shopify store showed was maintained with regular manual stock counts.
The fix —The ledger syncs stock with Shopify, so making a batch updates the store and a sale updates the workshop. One source of truth.
Cosmetics carry real obligations — CPSR, allergen declarations, ingredient limits — and checking every batch by hand is slow and needs to be accurate.
The fix —A built-in compliance audit checks products and batches against safety and regulatory requirements and flags anything that needs attention. Compliance you can see, not scramble for.
